1. Introduction:
The AIXR XR Awards ("Event") are organized by the Academy of International Extended Reality ("AIXR" or "Organizer"), taking place as an awards show dinner and ceremony. These Terms and Conditions ("Terms") govern all aspects of ticket purchase and event attendance. By purchasing a ticket, you agree to be bound by these Terms.
2. Ticket Purchase and Ownership:
Tickets are exclusively available through the XR Awards website to individuals aged 18 or over. Member pricing is exclusive to current members of the AIXR platform. Tickets are non-refundable and only transferable with prior written consent from AIXR. All ticket purchases are subject to availability and acceptance by AIXR.
3. Event Admission:
Admission is contingent upon full compliance with these Terms. Attendees must submit full ticket holder details 28 days prior to the event to guarantee entry. Specific dietary requirements may not be met if details are provided later than 14 days before the event. Attendees must adhere to a strict Black Tie dress code and event code of conduct. AIXR reserves the right to refuse admission or eject any attendee for non-compliance or inappropriate behavior without refund or compensation.
4. Cancellation and Changes:
Tickets are non-refundable. If the event is rescheduled, relocated, or canceled for any reason, including but not limited to safety concerns, public health emergencies, or decisions by authorities, attendees may be offered credit toward future AIXR events or membership. All requests must be submitted in writing to
[email protected] within a specified period following the announcement of the change.
5. Liability:
AIXR's liability is limited to the fullest extent permitted by law. AIXR will not be liable for any indirect, consequential, or special losses. Attendees assume all risk associated with event participation. While AIXR endeavors to meet dietary requirements and ensure attendee safety, it does not guarantee these services and accepts no liability for any failure to provide them or any resultant harm. Attendees agree to indemnify and hold harmless AIXR and its affiliates from any claims, damages, losses, or expenses arising out of their participation in the event.
6. Data Protection and Privacy:
Attendee information will be used in accordance with our Privacy Policy, available at XR Awards Privacy Policy. Attendees consent to the use of their data for event organization and communication, including with third-party contractors as necessary. All processing will be in compliance with applicable data protection laws, including the UK GDPR and any other relevant privacy legislation.
7. Health and Safety Compliance:
Attendees must comply with any health and safety guidelines or regulations that may be in place at the time of the event, including but not limited to public health measures such as vaccination proof, mask requirements, or social distancing. AIXR reserves the right to deny entry or eject any attendee who fails to comply with such measures.
8. Prohibited Items and Behaviors:
Attendees must adhere to the event's code of conduct, which includes a zero-tolerance policy towards harassment or any inappropriate behavior. Violation may result in immediate ejection from the event and potential legal action.
9. Intellectual Property:
All intellectual property rights in materials produced or distributed at the event are owned by AIXR or its licensors. Attendees grant AIXR and its authorized third parties an irrevocable, royalty-free license to use their name, image, voice, and likeness from any photographs, footage, or recordings taken during the event for promotional purposes across all media platforms, indefinitely.
10. Third-Party Services:
AIXR is not responsible for the actions or omissions of any third-party vendors, including those providing catering, security, or other event services. Any issues arising from third-party services should be addressed directly with the service provider.
11. Additional Fees and Charges:
Attendees may incur additional fees or charges beyond the ticket price, including but not limited to food and beverages, merchandise, or special services. AIXR is not responsible for any such additional costs.
12. Changes to Terms:
AIXR reserves the right to make changes to these Terms at any time. Attendees will be informed of significant changes through the official event communication channels. Continued use of the ticket following changes constitutes acceptance of the new terms.
13. Severability:
If any provision of these Terms is determined to be illegal, invalid, or otherwise unenforceable, the remainder of the Terms shall continue in full force and effect. Such invalidity or unenforceability will not invalidate or render unenforceable any other portion of these Terms.
14. Force Majeure:
AIXR is not liable for any failure to perform its obligations under these Terms due to circumstances beyond its reasonable control, including but not limited to natural disasters, war, terrorism, strikes, lockouts, industrial disputes, public health emergencies, or actions by governmental authorities.
15. Governing Law and Dispute Resolution:
These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the English courts.
